Office Assistant

We are seeking a proactive and highly organized Office Assistant to support our management team with customer engagement, internal coordination, and operational processes across EMEA, Middle East and optional North America. This is a hybrid position with optional remote office, office presence and occasional travel for meetings and events.

During the onboarding time more travel might be required to work hand in hand with the management team.

Key Responsibilities:

  • Coordinate appointments and scheduling
  • Manage incoming requests and assign unallocated tasks
  • Communicate with customers via CRM, EMail, Chat, Messages, Phone
  • Maintain and update customer contact records
  • Support quote and deal registration processes
  • Administer & assign software license information
  • Organize customer meetings and events, including:
    • Venue, travel, and dinner arrangements
    • Communication with internal teams and participants
    • Marketing coordination
    • On-site support during events

Required Skills & Experience:

  • Experience in day to day office administration, ideally in a hybrid or remote-first environment.
  • Strong knowledge of Microsoft Office 365 expected
  • Familiarity with Confluence, Asana, HubSpot, and Business Central.
  • Excellent communication skills in English, optional: German and / or Arabic
  • Strong problem-solving skills and customer service mindset.
  • Valid work permit for Germany (if applying in Germany), work permit for USA (if applying in USA), UAE work permit/visa can be provided.
  • and must be able to travel to Germany and USA.

Compensation:

  • Fixed annual salary: €36,000 – €54,000 (depending on experience and qualifications and GEO)
  • Performance bonus: Up to 10% of annual salary, based on service quality, responsiveness, and internal satisfaction metrics
